How to Tailor a Resume to a Job Description (Without Crying)

Step 1. Read the posting like a contract

Skim the posting once like you are checking a group chat, then read it again like your rent depends on it. List every skill, tool, certification, and duty it mentions. Split them into two piles: things you clearly have, and things you mostly have. Those two piles are your target keywords.

Step 2. Map keywords to real experience

For every keyword, find the moment in your career where you actually did the thing. Used the tool at an old job? Name it in that job's bullets. Never add a skill you cannot defend in an interview, because interviewers ask follow-ups, and nobody wants to explain a fictional SQL mastery to a very patient senior engineer. Tailoring is emphasis, not invention.

Step 3. Rewrite the bullets that matter

Start with your strongest roles and rewrite each bullet using the posting's own language. Lead with the best match. Swap weak openers like "responsible for" for action verbs, and add a number wherever one exists: size, time saved, volume handled, outcome achieved. Numbers make the robot happy and the manager confident.

Step 4. Check the ATS basics

Before you hit apply, confirm the file exports as searchable text, the headings are standard, and the layout is boring in the best way. Then read the whole thing out loud once. If any sentence feels like filler, cut it. A tailored resume should feel focused, not padded.
